Health & Safety Information – A Event Hire

At A Event Hire, health and safety is an important part of our event furniture, exhibition equipment, interactive games and event hire services.

Based near Coventry in the West Midlands, we supply equipment to exhibitions, corporate events, conferences, festivals, schools, universities, weddings and private functions throughout the UK.

With over 25 years of industry experience, we understand the importance of safe equipment, suitable installation arrangements and clear communication between suppliers, organisers and venue operators.

Our Approach to Event Health & Safety

We aim to provide equipment that is suitable for its intended purpose and maintained in an appropriate condition for hire.

Depending on the equipment and services supplied, our approach includes:

  • Equipment inspection and maintenance

  • Appropriate handling, loading and unloading procedures

  • Safe installation and dismantling arrangements

  • Suitable securing and positioning of temporary equipment

  • Providing relevant operating and safety instructions

  • Identifying hazards associated with our hire activities

  • Working with organisers to understand venue access and safety requirements

Safety arrangements vary depending on the equipment, event location and services included in the booking.

Risk Assessments & Method Statements

Risk assessments and method statements (RAMS) can be provided where available and appropriate to the equipment and services being supplied.

These documents may cover delivery, installation, dismantling, equipment operation and other relevant hire activities.

Event organisers and venue operators remain responsible for their own event-wide risk assessments and safety arrangements. Our documentation does not replace those responsibilities.

Please request any required documentation before your event so that we can confirm what is available and suitable for your booking.

Event Furniture & Exhibition Equipment Safety

Our Event Furniture Hire, Poseur Tables, Bar Stools, Bean Bags and Picnic Benches should be positioned on suitable, stable surfaces and used only for their intended purpose.

Furniture must not be overloaded, climbed on or used as access equipment.

Exhibition displays, cabinets and counters must be positioned securely, with suitable consideration given to public access, walkways and emergency exits.

Interactive Games & Entertainment Safety

We supply a range of interactive attractions, including Racing Simulators, Batak Reaction Games, Gold Bar Challenge, Arcade Machines and 9-Hole Corporate Mini Golf.

Equipment must be operated in accordance with the relevant instructions, age restrictions and supervision requirements.

Where an attraction requires an operator or trained supervision, these arrangements must be agreed before the event.

Outdoor Equipment & Temporary Structures

Our outdoor hire range includes Gazebo Hire, Crowd Barrier Hire and Picket Fencing Hire.

Temporary structures and outdoor equipment must be positioned on suitable ground and secured appropriately for their intended use.

Weather conditions, particularly high winds, must be considered when planning and operating outdoor events.

Equipment must not be used where conditions make its operation unsafe.

Electrical Equipment & Power Requirements

Electrical equipment must be connected to a suitable power supply and used in accordance with the relevant operating instructions.

Cables should be routed and protected to minimise trip hazards, and electrical equipment must be kept away from water unless specifically rated for the conditions.

Any required power supply arrangements should be confirmed before delivery.

Delivery, Installation & Venue Access

Safe delivery and collection require suitable vehicle access, unloading areas and clear working spaces.

Customers should inform us of stairs, lifts, restricted access, loading bays, uneven surfaces and any venue-specific safety procedures before their event.

Installation, dismantling and additional handling services must be agreed in advance.

Customer & Event Organiser Responsibilities

Customers and event organisers must ensure that:

  • Equipment is used for its intended purpose

  • Appropriate supervision is provided where required

  • Walkways, entrances and emergency exits remain clear

  • Equipment is not moved, modified or misused without permission

  • Any damage, faults or safety concerns are reported promptly

  • Unsafe equipment is taken out of use until it has been assessed

  • Venue rules and applicable health and safety requirements are followed

Responsibilities for individual activities will depend on the services supplied and the arrangements agreed for the event.
